To keep your program running smoothly, we expect Plan Administrators to:

1. Maintain Accurate Employee Records

  • Add new hires promptly

  • Notify us of terminations or status changes,

2. Communicate Key Updates

  • Share important notices with employees

  • Reinforce deadlines and required actions

  • Encourage timely responses

3. Direct Employees to the Right Support

  • Refer employees to BSG for benefit-related questions

  • Avoid providing plan-specific advice

  • Reinforce that licensed advisors are available

Open Enrollment Guide

November 1st thru January 15th

Enrollment Deadline of December 15th for a January 1st policy start date.

Enrollment Deadline of January 15th for a February 1st policy start date.

If ICHRA Program: You have an additional deadline for current employees of February 15th for a March 1st policy start date.

  • Open Enrollment Surveys- For currently enrolled employees, we will send out Open Enrollment Surveys 1st Week in October every year. It is extremely important that we get survey back from employees in a timely manner. Plan Admins will be emailed a "Upcoming Open Enrollment Notice" to post in staff areas, please post immediately for compliance purposes.

Please Note: New Hires still need to be added to "Add Employee" section.

  • Post Survey- Based off of their survey employees will be directed 1 of 3 ways:

    -They are satisfied and want to auto enroll into the same plan. They will be contacted to provide updated Doctors and Medications to verify the next year network is still the best for them.

    -They want to shop and meet with a Health Advisor, they will receive scheduling links and updated Agent of Record to e-sign.

    -They want to shop via email/text, health advisor will reach out to get updated info and send them plan options.

  • During Open Enrollment-If employees do not fill out a survey and we do not hear from them in a timely manner, they will be auto enrolled for the next year. We do not suggest this. We want all employees to take time to look over their benefits and be allowed to change them.

    We will need your help in encouraging employees to do the survey and communicate with us their preferences.

    Weekly enrollment updates and notifications for any enrolled employees will be sent to all listed Plan Admins.
